Event photography is often one of the last things booked — and one of the first things regretted when left too late. Here's a realistic guide to timing.
Peak periods book out fastest
Melbourne's event calendar has clear busy seasons — spring racing carnival, end-of-financial-year functions, and the November/December Christmas party season. During these windows, experienced event photographers can be booked out weeks or even months ahead.
General rule of thumb
For a standard corporate event, conference, or brand activation, booking 4–6 weeks ahead gives you the best chance of securing an experienced photographer with your preferred availability. For larger events — gala dinners, award ceremonies, or multi-day conferences — earlier is better, ideally 2–3 months out.
Last-minute bookings aren't impossible
Sometimes events come together fast. While it's not ideal, availability can still be found closer to the date — it's always worth asking rather than assuming it's too late.
